People and Operations Coordinator - St Martin-in-the-Fields Charity

Salary:              £27,000 per annum

Contract:         Permanent

About the role 

Ensure the smooth running of St Martin-in-the-Fields Charity on a day to day basis, providing a wide range of effective administrative and logistical support to the People and Operations team and to the wider Charity team to deliver its strategic and operational objectives.

Main duties and responsibilities:

  • Support the People and Operations Manager to run effective recruitment campaigns from endto-end, including drafting and placing job ads, candidate liaison, interview facilitation and onboarding/induction processes.
  • Administer the Charity’s ongoing employee staff and development processes, including managing the timetable for the annual appraisals, sourcing and booking training for staff individually and collectively and interrogating evaluation and feedback for informing future training needs.
  • Support the People and Operations Manager in ensuring the Charity’s IT systems are efficient and meet business needs acting as the first point of contact for internal and external IT support and queries This will include basic troubleshooting IT issues, liaising with suppliers, monitoring issues and performance and ensuring equipment is in a good state of repair.
  • Organise events such as Trustee Board meetings, Leadership meetings, Charity team Away Days, social events and other undertakings involving Charity colleagues and/or external contacts. This will involve sourcing and booking venues and catering, room set up and providing technical support.
  • Support the People and Operations Manager in ensuring the Charity meets its health and safety obligations including first aid, fire safety, DSE and organising appropriate training.
  • Source and research facilities and services which can help improve our offer to employees such as staff benefits, wellbeing initiatives and social activities.
  • Process payments and invoices, organising travel and accommodation for team members and Trustees.
  • Maintain and update the employee asset register, contact directories, inventories and other data resources.
  • Manage the Charity’s database of memberships and subscriptions to keep information up to date and accessible, and with an eye to optimising opportunities for getting value for money across the Charity.
  • Act as first point of contact for telephone callers, triaging calls and redirecting where appropriate, taking and forwarding on messages, transferring calls and providing general information about the Charity and St Martin’s. Occasionally, you may need to record details and flag to our safeguarding leads if necessary.
  • Devise and create effective systems for monitoring and ordering stationery, equipment and supplies to ensure value for money and avoiding wastage. With the People and Operations Manager, regularly review suppliers to ensure business needs are being met. Look to develop and maintain effective relationships with suppliers.
  • Support the Charity Director, Head of People and Operations and People and Operations Manager with diary management and ad hoc project tasks.
  • Provide general administrative and additional logistical support to the wider Charity team and its activities such as the Frontline Annual Conference and fundraising events.
  • Be proactive in suggesting and implementing administrative improvements to support the team and wider Charity to work in a more efficient and collaborative way.
