Head of Operations and Finance - St Martin in the Fields Charity

Salary:        £50,000

Contract:    Permanent

About the role 

Head of Operations and Finance is a member of St Martin-in-the-Fields Charity’s Senior Management Team, reporting to the Director. Responsible for ensuring the financial wellbeing of the St Martin’s Charity, the Head of Operations and Finance will oversee organisational budgets, management accounts and long-term financial planning. They will also lead on HR functions, ensuring St Martin’s Charity has the skills and knowledge required to achieve its goals and that the policies and practices adopted are executed to a high standard. The role will be the organizational lead on other areas of operations including data protection, equity, diversity and inclusion, and IT.

Main responsibilities

Financial management and strategy

  • Taking a leadership role in St Martin-in-the-Fields Charity financial management strategy, including medium to long term financial planning and risk management
  • Ensuring that all accounting records are maintained to a high standard.
  • Ensuring that all financial processes and systems are regularly updated and adhered to, developing and implementing new ones where required.
  • Monitoring and developing of all banking and cash management arrangements.
  • Producing regular cash flow projections and management accounts for the Director, SMT and the Trustees.
  • Preparing Budget, Audit and Risk Committee papers on a quarterly basis
  • Working with the SMT and Director in the development, monitoring, management and reforecasting of annual budgets
  • Preparing year end statutory accounts, liaise with auditors and manage audit process. with support from Budget, Audit and Risk Committee.
  • Responsibility for preparation of all statutory returns and act as the main point of contact with HMRC, Companies House and the Charity Commission.
  • Oversight of financial management of St Martin-in-the-Fields Charity grants, including support for budgeting, monitoring, and reporting of programme income and expenditure

People

  • Act as strategic lead on people management, learning and development, internal communications and engagement
  • Ensure we have the right culture, capacity and capability to achieve our Charitable objectives, and that we are practicing our Charity values
  • Development and implementation of all HR policies and processes, ensuring they create the most efficient and engaging experience for our people
  • Enable line managers to manage and achieve high performance, and ensure that strategic and operational objectives are achieved
  • Ensuring that HR issues are adequately represented at SMT meeting
  • To develop recruitment, on-boarding, and staff retention strategies that are guided by best practice and seek to ensure the Charity has the talent needed for the roles
  • To interpret and advise on employment legislation, and terms and conditions of employment, ensuring professional advice is given at all times, seeking expert advice from the external advisory service as required.
  • Support and develop the skills and knowledge of the Charity Operations Officer

Operations

  • Supporting the Director and Senior Management Team in the development of internal processes and procedures to improve the operational effectiveness of St Martin-in-the-Fields Charity.
  • Ensures the Charity has the right policies and procedures in place regarding Equity, Diversity and Inclusion. Provides specialist knowledge and expertise and works to ensure the organisation celebrates differences and allows all staff to be their authentic selves at work
  • Implementation and management of effective IT, systems and information management
  • Acts as the organisation’s Data Protection Officer – carrying out regular data protection audits and ensuring best practice across the organisation
  • Act as Company Secretary for the organisation.
  • Ensuring that the working facilities required for staff to work from the office and from home are efficient and encourage ways of working that support staff wellbeing
  • Maintaining a watching brief for administrative issues that may have legal or other implications for the organisation.
